Job Description

Upper East Side family seeks organized, intelligent, resourceful, and detail-oriented Assistant / House Manager to oversee NYC, and summer residence. Ideal candidate is someone able to manage household staff, handle all coordination with vendors and contractors, oversee home renovations or projects, maintain security and tech systems throughout the home, keep home stocked needed items, communicate with additional staff in seasonal home, help organize events in the home, and oversee holiday décor. Team player who is willing to help with whatever is needed in the home will have the most success in this position. Candidate should be highly proactive, organized, and hardworking. The schedule is typically Monday-Friday from 9 am to 6pm, with overriding flexibility to work later day when needed (near holidays, or for a special event), and an occasional overnight (1 to 4 times annually). Previous experience and stellar references required, as well as a thorough background check.
Responsibilities will include all aspects of home management, including:
- Calendar Management
- A lot of online communication and organization
- Vendor Management
- Property Management for NYC residence and second home
- Travel Planning
- Organization
- Personal Shopping
- Event Planning
- Project Management
- Some bill paying
- Errands
- Staff management
- Scheduling home maintenance and repair work, and supervising all projects
• Maintain household inventory supplies and order as necessary
• Hiring, training and supervising all household staff
- Overseeing the operation and maintenance of multiple residences
- Maintain/update security systems at all properties as necessary
- Maintain and update Family files and confidential VIP information as necessary (hard files and electronic)
- Calendar management and coordinating the Family’s schedule
- Arranging appointments for personal, professional and family
- Handling some household bills, and all administrative duties
- Maintaining Family contact list
- Maintain and keep inventory of household valuables (i.e. China, Silver)
- Vendor and contract negotiation related to various projects at the different residences
- Maintaining household manuals (keep up on and/or update all implemented schedules for maintenance, staffing, and services needed for the properties.)
- Event planning, organizing, and coordination (small and large parties)
- Booking all Family related travel arrangements. (Flights, ground transportation, hotel accommodations, dining, activities etc.)
- Managing and researching miscellaneous projects
- Miscellaneous errand running needed by employer
- Update all computer and smart systems as necessary (TV’s and Computers)
- Manage vehicle maintenance and management

Job Requirements

College degree
Previous relevant experience (minimum of 5 years)
Valid New York State drivers license
Legal to live and work in the U.S.
Pass a thorough background check
