Job Description


High profile, yet private and discrete family seeks an experienced and fully adept Estate Manager to oversee and manage their East Coast residences including a townhouse in NYC and a large 10+ acre estate in East Hampton. This position consists of a 5-day workweek with weekends inclusive May-September, and Monday-Friday October-April. The ideal candidate will have ample prior experience managing expansive estates and leading teams to success. The ability to manage a team and work well with others is important as this person will oversee a staff of 20+ team members. This person will be the family’s main point of contact with regard to all of the day to day operations. Main focuses of the role include employee management, budget management, master oversight of inventories, and maintenance management. The principals are very environmentally conscious, so the ideal candidate will have a knowledge of strategies to make the homes more “green.” Clear communication, problem-solving, and prioritizing skills are all a must in this role.

Responsibilities include, but are not limited to:
• Managing the upkeep of the properties including grounds, residence, tennis courts, pool, vehicles, etc.
• Ability to cohesively manage year-round housekeeping and grounds staff
• Sourcing, interviewing, training, scheduling and managing the family’s year-round and summer team and additional staff as needed
• Creating maintenance schedules for residences and equipment; ensuring schedules are adhered to by all staff
• Providing special attention and care to fine furnishings and finishes
• Overseeing and reporting on household budgets and expenses
• Organizing and managing household inventories, closets and storage areas
• Planning and assisting regular entertaining for private & social events; providing service as needed
• Maintaining working order of electronic systems, iPads, speakers/sound system, and Wi-Fi throughout the home
• Sourcing, hiring and overseeing all vendor and contractor work (e.g. electrician, plumber, HVAC, carpentry, gardening help, etc.) including but not limited to, checking credentials, insurance, references and obtaining quotes as well as coordinating access/entry and overseeing the overall quality of the work
• Running errands and maintaining household supplies and groceries, in conjunction with the family’s Chefs
• Assembling floral arrangements regularly throughout the residence
• Greeting guests and visitors, answering phone and taking messages on behalf of the principals
• Serving as the point-person in emergencies when needed; immediately inspecting and securing the property, as well as informing principals of any dire needs or security threats, along with the security company & authorities
• Initiating and overseeing all general maintenance tasks, repairs, improvements, renovations, and construction projects for property, structures, vehicles and equipment

Job Requirements


• Fluent in English; exceptional communication skills, both written and verbal
• Excellent references required from both current and previous employers
• Minimum 7-10+ years related experience working in a similar position(s) with a private family
• Experience on yachts and/or 5-star resort management a plus
• Ability to seamlessly follow direction as well as independently lead a team
• Flexibility with scheduling; ability to work both overtime and weekends as needed
• Exceptional organizational skills and detail orientation
• Excellent computer skills with proficiency in both Mac and PC operating systems, as well as like technology
• Self-starter mentality with ability to maintain year-round productivity
• Knowledge of formal and casual dining service
• Well adept in operating home security and electronics systems
• Valid Driver’s License; confident driver with zero points
• Valid Passport; willing and able to travel both domestic and internationally as needed to provide seamless care
• Able to legally work within the United States for any employer
