Estate & Hospitality Manager (Hampton, NH)
Active family with two young children is seeking an energetic, experienced household manager/land-based chief-steward(ess) to be responsible for providing hospitality services and overseeing the general operations of their estate in New Hampshire (18,000 sqf) estate.
This New Hampshire based position will interface directly with the Principals and continuously with the Principals’ household staff to coordinate logistics or topics that involve the family’s properties and activities. This is a very hands-on, fast-paced, hospitality and service oriented position. The role reports directly to the Principal. Principals expect their homes to operate like a ship with the level of service that what one would experience on a luxury yacht.
The household staff is a very close, very integrated team. If efficient and possible, it is expected that when one member of the team is “out of the office”, ill, staffing Principal, etc. the other team members will work diligently to complete or ensure their tasks, along with the high priority and necessary daily tasks of the unavailable member.
Real-time implementation of Principals’ requests for all the family’s personal needs and comforts; understanding and caring about every move the Principals make to ensure every system is setup properly and in advance
Running all aspects of hospitality and food/beverage including, but not limited to, weekly meal planning with chef, keeping inventory, grocery shopping, table settings (i.e., linens, place settings, flower arrangements, etc) and light hospitality (e.g., greeting house guests and preparing/serving beverages/snacks upon request)
Administering human resources processes including directing, educating/training, motivating and supervising household staff of seven (i.e., Housekeeper, Greenhouse Manager, Grounds Caretaker & Fleet Manager, Farm Manager, Estate Chef, Security Gate Attendant and Nanny ) to implement the highest of standards at the residence; lead staff briefings and provide orientation for staff new to the properties on topics like: safety, emergency contacts, calling procedures, location of fire extinguishers/safety devices, tour of home and dwellings, alarms, home systems, etc.
Managing the household scheduls and calendars in conjunction with Principals’ staff
Maintaining clean, organized, and meticulous homes ensuring that the operations are running smoothly
Enforcing the dress code, grooming standards, and other policies and standards for all staff
Ensuring that homes are prepared for guests at all times; assisting in entertaining guests and providing hospitality; providing personal services (i.e., valet services) and overall guest care
Scheduling home maintenance and repair work, and supervising projects in conjunction with grounds Caretaker; executing light maintenance inside the house (light bulb changes, HVAC filters, etc.); overseeing and vetting for outside vendors to ensure a smooth and seamless five star service
Interacting with Security Gate Attendant to control package delivery to main house
Superior event management (i.e., planning, organizing, coordinating, staffing); assisting with dinner parties, meal planning, preparation, etc. in conjunction with household chef; reviewing and comprehensively understanding all aspects of the event; completing event forms; overseeing food and beverage, table setting/service, décor, flowers, rentals
Creating floral arrangements with Greenhouse Manager
Managing special projects (e.g., the Principals are building an estate/farm and this role will help with moving logistics plus more)
Running household errands, shipping/receiving, and performing necessary tasks
Daily surveying of the main home; in conjunction with housekeepers, tidying up where needed
Assisting the Housekeepers with specialty cleaning or household projects
Developing and maintaining an interior cleaning schedule for regular and deep cleaning for all properties; proactively creating, maintaining, implementing and administering schedules for monthly, seasonal, bi-annual and annual maintenance for the interior and exterior of the estate
Running, routinely testing and troubleshooting Crestron smart home technology system (security, sound, lighting, fountains, etc.); implementing Principal’s desired settings (e.g., family settings vs. entertainment settings; fountain settings; etc.)
Monitoring and routinely checking all technology to ensure that it is working properly and ready for the Principals and/or their guests (e.g., batteries in remotes full charge, Wi-Fi working, etc.)
Documenting all systems on the estate for ease of understanding for family, guests, staff members and vendors
Keeping an up to date, detailed and transparent punch list of all action items (open and closed) that can be accessed at all times by the team and/or Principal
Maintaining diligent household procedural manuals for each property; implementing an informational management system
Creating, implementing, and monitoring a financial planning system that includes accounting and budgeting for the homes; ensuring efficiency
Liaising with Family Office bookkeeper to ensure all vendor invoices are paid on time and that all supporting documents for charges are submitted timely; practicing cost containment
Maintaining a detailed and up-to-date asset tracking database, “AssetPanda”, with the direction of the Executive Personal Assistant
Organizing storage areas and maintaining inventory; ensuring that each residence is stocked with the principal’s desired toiletries, personal items, cleaning products or anything requested by the Principals
Capturing all guests/vendors etc in household calendar
Other duties as assigned
Schedule is Monday - Friday at 8:00am - 5:00pm; flexibility is required for travel and to work occasional evenings and weekends when family has events, meetings are scheduled with Principal(s), etc.
Strong and clear communication (i.e., proficient in English, both orally and written)
Able to drive with a valid license and clean driving record
Solid work history with great references is essential
Ability to travel to other properties (MA & FL) if needed

Natural heart for service: good instincts with concierge and hospitality sensibilities
Self-starter and self-motivated; needs to be able to think way ahead to predict family’s needs (e.g., family has several events they do every year; estate manager should be able to think ahead to schedule adequately when invitations should be printed, sent, etc.)
Work with daily/weekly/monthly/seasonal/annual task lists
Boundaries are essential; execute extreme level of confidentiality
Passionate about how everything looks at all times; excellent service, host(ess), and managerial skills are a necessity, as is having a good degree of creative flair
Must present oneself in a professional manner or style, polished and poised at all times
