Entrepreneurial family of five ( two adults and 3 children, ages 4, 8 & 13) has an immediate need for a female Mandarin speaking Personal Assistant to join their growing team. Our client would prefer to consider local candidates, though they may be open to relocating the ideal person from another part of California.

The Personal Assistant will provide administrative support for daily household functions and building out systems, policies, and procedures for the home and client’s business office, creating a solid foundation for growth.

The candidate who is chosen for this position will work in the family’s residence.

Key Responsibilities

Excellent English & Mandarin written and verbal communication skills are required along with the ability to adapt to effectively support Principals’ needs. Attention to detail and strong decision-making ability are equally important. This self-motivated individual must be able to manage multiple projects, communicate effectively, simultaneously prioritize critical tasks, and optimize time with Principal. The ideal candidate is a career assistant with long-term intent and is bright, forward-thinking/anticipatory, meticulous, highly-organized, solution- oriented, calm and warm.

-Intricate, multiple calendar management. Highlight priorities and rearranging appointments and meetings as needed
-Understanding what level of detail is communicated to different parties while still maintaining privacy of the principals
-Put in place systems for smooth operation and communication ensuring home is a place of relaxation
-Create and maintain data bases and documents to manage: contacts, gift giving and receiving lists, holiday cards, storage inventory, guest preferences (likes, dislikes, and allergies), etc.
-Assist with travel arrangements for family and guests
-Liaison and coordinate with Principals’ personal contacts and providers
-Stock and maintain inventory of durable goods for properties
-Wrap, package and ship gifts, or returns
-Handle mail, email, thank you notes, correspondence as needed
-Run errands as needed
-Plan dinners and events
-Research and project support on long-term projects
-Reconcile household account and expenses

Job Requirements

Required Knowledge and Skills:

-Proficient on both Mac and PC platforms
-Ability to work in a fast paced environment
-Extensive administrative-level experience to executive-level support, including heavy calendar management
-Experience creating and maintaining household systems
-Experience working in a staffed home environment
-Flexibility and ability to make changes on the fly and proven team player
-Self-starter/Self-motivated but with ability to take direction from Principal
-Execute extreme level of confidentiality
-Must have valid driver’s license and ability to operate a vehicle to run errands, as needed
-Must have at least 2+ years of experience working full-time for a prominent family/individual
-Able to work legally in the United States
-Must be able to pass an in-depth background investigation
-Must have excellent references from past employers
-Looking for candidates with a GREAT attitude who are able to interact in a professional and pleasant manner with the family and other on-site support staff
