Chairman of a privately held portfolio of luxury businesses headquartered in California and Colorado is seeking a high impact full-time traveling personal assistant/butler. Ideal candidate is enthusiastic, dedicated, a polished professional who loves detail, is charged by multi-tasking in a variety of settings: both formal and informal, is willing to wear a variety of hats and enjoys international and domestic travel. This person solves problems before they arise, is quick on their feet, and sees tasks through from beginning to end. Personal assistant/butler will travel with the Chairman to provide administrative support, keep his calendar, schedule appointments, make reservations, manage correspondence, clothing shop, drive, plan and make travel arrangements, pack for trips, plan events, and interact with a variety of service and healthcare providers. Candidates must have a positive attitude, organizational and creative problem solving skills, be adaptable to change and capable of practicing the utmost discretion in regard to the principal and his family. Candidates must be technologically savvy, proficient with Microsoft Office (Word, Excel, Outlook, etc.), familiar with iPads, iPhones and exercise technology (FitBit). Seeking candidate that is a “go-getter”, works well under pressure and holds core values that align with those of the family and their businesses. The Chairman has a penchant for healthy living including a focus on nutrition and exercise, which is also appealing in candidates. International and domestic travel locations include, but are not limited to the following: Europe, Caribbean, NYC, Aspen and Napa. Start date is highly flexible for the right candidate.

DUTIES:

• Anticipate needs of Chairman and provide first class service to him in a variety of settings

• Travel with Chairman both domestically and internationally, serving as Assistant: manage calendar, monitor and forward emails, facilitate outgoing correspondence including dictated letters, schedule appointments in Outlook

• Run ad hoc errands: shopping, dry cleaning, repairs, UPS packages

• Help team source a variety of service providers during travel such as: personal trainers, massage therapists, health care providers and chefs

• Book flights, hotels and transportation for travel

• Manage guests: arrivals, departures and transportation as needed

• Trouble shoot: WiFi, TVs and exercise technology (FITBIT) to ensure client is connected during travel

• Manage and update iPhone and iPad as necessary

• Keep passports and other essential documents up to date and ready for travel

• Keep digitized records of all credit cards, passports, driver’s licenses and insurance documents

• Drive Chairman to and from meetings, classes and activities as requested

• Provide assistance with meal preparation

• Pack and unpack for travel



RESPONSIBILITIES:

• Assume personal responsibility for understanding and performing duties following the core values of the family and their business

• Exercise high level of confidentiality, discretion and loyalty

• Actively participate in planning and scheduling

• Share knowledge with team members to ensure the right resources are utilized and costs are controlled

• Maintain and update databases regularly

• Manage and track pertinent information on behalf of the Chairman

• Provide options and information for optimal decision making

• Coordinate with Accounting Department and other team members to maximize efficiency for Chairman

• Act in the best interest of the family

• Notify supervisor of time off requests in a timely manner

• Treat others with respect and work well as a team for optimal efficiency

• Properly account for vacation and sick hours by accurately recording hours in Exponent HR

• Share knowledge with family office and household staff

• Maintain confidentiality in all business and personal matters



QUALIFICATIONS:

• Highly organized, detail oriented, proactive, excellent time management, efficient and service focused

• Attentive to principal's preferences and style (intuitive to their needs)

• Ability to maintain discretion (confidentiality agreement is required)

• Ability to be discreet with respect for employer’s privacy (ability to be friendly without being too familiar and available without being intrusive)

• Professional presentation of self and great personality

• Ability to develop and maintain solid working relationships with service providers, contractors and vendors

• Ability to easily take direction

• Strong ability to communicate and collaborate efficiently with principal, family office and domestic staff (effective verbal communication skills required)

• Strong general technology skills and experience working with Apple and PC products, printers, cable TV, internet/audio, AV equipment, etc.

• Sufficient knowledge of business communications (including telephone, voicemail, text and email)

• Seeking longevity/long term commitment (ideally seeking 5-10+ year commitment)

• High level of energy, positive attitude and ability to handle residences and staff with ease and calm demeanor

• Active and fit

• Non-Smoker

• Highly flexible with work hours and willing to accommodate the principal's needs, often outside of regular working hours

• Team player reporting directly to the principal and comfortable taking direction from those appointed by principal at family office (ideal candidate will balance independent initiative with collaboration)



REQUIREMENTS:

• Bachelor’s degree

• 5-10+ years of consistent and recent domestic experience as a full-time personal assistant, butler, etc.

• 3-4 references from professional positions (consistent long term references are more important than quantity)

• Ability to complete extensive background checks, drug tests, etc.

• Driver's license and clean driving record
